Awaiting owner review

This page has been written to match how the website currently works, but some facts still need to be confirmed by the business owner and it has not been checked by a legal professional. It is not yet final.

Last updated: 6 November 2026

Who we are

This website (incontrolonline.co.uk) is run by HPH Consultancy Services Ltd t/a Incontrol UK, based in Kenley, Surrey. We are the controller of the personal information described in this notice, which means we decide how and why it is used.

Company number 05413765. Office address: Sherwood Oaks, Frensham Road, Kenley, Surrey, CR8 5NS. These details have been confirmed by the business owner.

You can contact us about anything in this notice at richard@incontrol-uk.com.

Your right to object

You can object at any time to us using your information where we rely on our legitimate interests (see the table below). Email richard@incontrol-uk.com and tell us what you object to. We will stop unless we can show compelling reasons that override your interests, or we need the information to deal with a legal claim. You may also withdraw your consent to analytics at any time (see "Cookies and analytics").

What we collect and why

Quote request form. When you send a quote request we collect the details you type in:

  • your name
  • your email address
  • your phone number (optional)
  • your postcode
  • the service or product you are interested in
  • your project description (free text, up to 3,000 characters)

We also record the date and time you confirmed that you had read this notice, and a status we set ourselves (new, in progress or closed) so we can track the enquiry. Please do not put sensitive information, such as health details, in the free-text box.

Emails and calls. If you email or phone us, we will hold the content of our correspondence and your contact details.

Analytics. If you accept analytics, Google Analytics collects information about how you use the site (see below). We do not collect this information if you reject analytics or have not made a choice.

Our lawful bases

  • Taking steps at your request before a contract (UK GDPR Article 6(1)(b)): using your enquiry details to respond to you, assess your requirements and prepare a quotation.
  • Legitimate interests (Article 6(1)(f)): ordinary business correspondence, keeping a record of enquiries and our replies, and keeping the website and enquiry records secure and free from abuse (for example, a short pause between repeat submissions from the same email address). We have considered that this is proportionate and does not override your rights. You can object (see above).
  • Consent (Article 6(1)(a)): optional analytics cookies and similar technologies only. This is separate from the quote form. Ticking the form box to say you have read this notice is an acknowledgement, not consent to analytics or marketing.
  • Legal obligation (Article 6(1)(c)): where the law requires us to keep or disclose information.

Who can see your information

  • Us. Quote requests are stored in the website's database. They can be viewed and updated only on a private page that requires sign-in, and access is limited to the business owner's verified email address.
  • Our website host. The website is hosted by Hercules. As part of that hosting service, enquiry data is stored on the Hercules platform and its infrastructure providers, which also provide the sign-in used by the business owner. Our host handles your information on our behalf.
  • Google, as our processor for Google Analytics, only if you accept analytics (see below).
  • Email service. We handle correspondence about enquiries using Zoho Mail for the business email address shown above, so your emails to us and our replies are processed by Zoho on our behalf.

This website does not automatically send email or text notifications when you submit a quote request, and it does not automatically forward your enquiry to anyone. Enquiries are stored for us to review. This website does not sell personal information.

Outside this website, when it is needed to deal with your enquiry or run our business, we may share relevant details with:

  • installers, suppliers and manufacturers, to assess your requirements, prepare a quotation or carry out work
  • our accountant, for example if you become a customer
  • our IT contractor, who may have access while supporting our systems

Cookies and analytics

Optional analytics (Google Analytics 4). The site can use Google Analytics 4, provided by Google, which acts as our processor, to count page views and clicks on phone, email and quote buttons, and to count completed quote requests (we send only the category you chose, such as "Wi-Fi improvement", never your name, email, phone, postcode or message). The private enquiries page and sign-in pages are never measured.

Analytics is off by default. Nothing is loaded from Google and no analytics cookies are set until you choose Accept analytics in the cookie banner. Reject analytics has equal prominence. We have turned off Google signals and ad personalisation, and advertising storage is denied. When analytics is on, your browser connects to Google, so Google receives technical information such as your IP address and browser details.

Your choice and how to change it. Your choice is saved in your browser's local storage on your device (not on our server) and lasts 12 months, after which we ask again. You can change it at any time: or use "Cookie preferences" in the footer. Rejecting or withdrawing stops measurement straight away and the site then tries to delete the Google Analytics cookies it can access. You can also delete cookies in your browser settings. Withdrawing consent does not affect anything done before you withdrew.

The Google lifetimes are Google's documented defaults (see Google's cookie documentation); the site does not override them in its code, but they can be changed by settings in the Google Analytics account, and browsers may cap them. The cookie lifetime is how long the cookie stays on your device. It is not the same as how long Google Analytics keeps the data it has collected, which is controlled by a retention setting in our Google Analytics account.

The display-preference entry stores only your light/dark choice and is used to show the site the way you asked. It is not used for tracking.

How long we keep information

We do not keep personal information for longer than we need it. Enquiries that do not lead to work are kept for no longer than 6 months, then deleted or anonymised. If you become a customer, we may keep information for longer, taking into account:

  • whether your enquiry is still open, or has led to a quotation or contract
  • how long we may reasonably need the record to answer follow-up questions or deal with a complaint or dispute
  • any legal, accounting or insurance requirement that applies if you become a customer
  • whether you have asked us to delete it or have objected to our use of it
  • whether the information is still accurate and useful

Analytics data is kept by Google according to the retention setting in our Google Analytics account. Analytics cookies stay on your device until they expire or you delete them.

Sending information outside the UK

Some of the providers described above, including Google, may handle information in countries outside the UK. We are still confirming where each provider handles information and which safeguards apply to any transfer, so we do not make claims about this here. We will update this notice when we have confirmed it. If you want to know more now, email richard@incontrol-uk.com.

Your rights

Under UK data protection law you have rights over your personal information, including:

  • Access: to ask for a copy of what we hold about you.
  • Correction: to ask us to fix information that is wrong or incomplete.
  • Erasure: to ask us to delete your information in certain circumstances, for example where we no longer need it or you withdraw consent.
  • Restriction: to ask us to pause our use of your information in certain circumstances, for example while we check its accuracy.
  • Portability: to ask for information you gave us to be provided in a reusable format, where we rely on your consent or on a contract, and the processing is automated.
  • Object: to object to our use of your information based on legitimate interests (see the highlighted section above).
  • Withdraw consent: at any time, for analytics, using cookie preferences. It is as easy to withdraw as to give.

Some of these rights apply only in certain circumstances. To use any of them, email richard@incontrol-uk.com. We may need to check who you are first. We will respond within one month of receiving your request, and we do not normally charge a fee. This website does not make decisions about you using solely automated processing.

Complaints

We would like the chance to put things right first, so please contact us at richard@incontrol-uk.com. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: https://ico.org.uk/make-a-complaint/.

Providing your information

You do not have to use the quote form. If you do, your name, email address, postcode, interest and project description are required so that we can respond and prepare a quotation; your phone number is optional. Analytics is entirely optional and you can use the whole site if you reject it.

Changes to this notice

We may update this notice when our practices or the website change. The date at the top shows when it was last updated. This version is dated 6 November 2026.
